SENIOR SECRETARY (OPS/SS 3)
FINANCIAL MANAGEMENT DIVISION
JOB SUMMARY:
Under the direction of the Principal Finance Officer the incumbent provides secretarial support, perform and coordinate office activities and ensure that information is disseminated in a timely manner to staff, Agencies, stakeholders and clients.
PERFORMANCE CRITERIA
- Effective dissemination of internal and external information
- Produce information on a timely basis
- Efficient coordination of Secretarial; response to calls, effective filing system and typing of information
SKILLS/ KNOWLEDGE
- Ability to communicate effectively both orally and in writing
- Ability to work proactively as a member of a team and act on own initiative
- Ability to type proficiently
- Proficiency in the use of Computer applications
- Excellent interpersonal skills
DUTIES & RESPONSIBILITIES
- Organizing & maintaining an effective and efficient filing system for reports correspondences, memoranda etc.
- Typing of information as requested.
- Screening incoming calls and makes outgoing calls.
- Recording incoming and outgoing correspondences.
- Operating the facsimile machine and sends correspondence
- Responding and following up on emails
- Any other duties assigned from time to time
PROFESSIONAL QUALIFICATION & EXPERIENCE
- Graduate from an accredited Secretarial School and successful completion of the CAM 2 course offered by MIND or
- Certified Professional Secretary
- At least 2 years secretarial experience
